Workplace Experience Assistant

Job duties:

• Assist the Office Manager to manage Admin and Office Management activities to create safe, healthy and efficient office environment in Shanghai office
• Internal communication, Business awareness, design & organize the multiple communication methods activities to encourage our staff with the company satisfaction.
• Activity based workplace management

  Activity based workplace management

• Understand staff needs & better service staff
• Support the staff to better use of ABW office.
• Observe staff behaviors and adjust continuously.

  Internal communication

• Support OM to design our activities with business focus mindset
• Lead or assist office manager to organize Shanghai office activity or meeting (annual dinner, townhall, office in house activity or other company wise activities & meetings etc.)
• Send out company wise email and poster

  Project Support& Other tasks assign by the OM.

  Support Office Manager to drive admin related project (office moving and setup, renovation etc.)

  Supplier Management

• Assist OM to set up standard service process to standardize supplier’s services.
• Check our supplier practice or activities regularly based on SOP.
• Follow up procurement policy and manage renewal of Shanghai office supplier contract and PO.
• Manage ongoing relationships with external suppliers to ensure receiving satisfactory standards of service.

  License management & stamp management

• File and update License information, register license usage
• Stamp: backup office manager to manage use of company stamp

Requirements

• Bachelor degree and above
• At least 2-3 years of administration management experiences in multinational company
• Experience of working in multi-culture environment is preferred
• Experience of working in ABW (activity-based-workplace)/flexible seating environment is preferred
• Experience of activities design and organization ​​​​​​​
