Contract Management

Prepare, maintain and process new and renewal contracts by working closely with various internal  (Sr Legal Counsel, EEO, Assist Risk Manager, Dir Commercial Finance, Product Engineering, Customer Engineering, Brand team,  Credit Manager, Manager Fleet Sales, Manager Business Operations, Contract Acquisition & Compliance, GM Mileage Sales ) and external groups to meet and maintain compliance.  

Conduct direct outside communications with Transit and Charter lease or purchase customers with regards to contract related information.

 

Provide leadership and support for Vendor Management

Conduct quantitive analysis on annual expense spend and facilitate the creation and communications of annual supplier purchase orders.  Process and validate invoices aginst purchase orders and forward to General Manager for approval.  Track spend throughout the year and provide thorough analysis for requests to increase purchase order value.  Conduct direct communications with vendors/suppliers.

 

Business Insights

Use Out of Service data, tread depth and tire pressure data to assist management in understanding area's of opportunity leading to improved tire peformance and lower operating costs.

 

 

Primary Responsibilities:

  • Manage and maintain Mileage contracts for compliance. 
  • For bids/ RFQ'a under $1.5M value, Respond to bid requests and RFQs, answer field sales and transit agency inquiries. Generate and complete all bids on time with few if any bid exceptions. Prepare and mail completed bid package.  Some fucntions will aplly to bids / RFQs regardless of value.
  • Provide Bid prep and process assistance to other commercial areas such as Government Sales as needed
  • Communicate bid specifications and exceptions to appropriate functions (both internal and external) (Sr Legal Counsel, EEO, Assist Risk Manager, Dir Commercial Finance, Product Engineering, Customer Engineering, Brand team,  Credit Manager, Manager Fleet Sales, Manager Business Operations, Contract Acquisition & Compliance, GM Mileage Sales)  
  • Conduct quantitive analysis on annual expense spend and facilitate the creation and communications of annual supplier purchase orders.  Process and validate invoices aginst purchase orders and forward to General Manager for approval.  Track spend throughout the year and provide thorough analysis for requests to increase purchase order value. Communicate and execute strategies with suppliers that contribute towards stable service levels and Mileage EBIT results.
  • Continually recomend structure, process & metric improvement opportunities to drive business results.  Complete various administrative tasks associated with data management & business analytics, with a focus on process improvement.  (EDW and Budini etc.)
  • Participate in regulatory, compliance and operational  training as needed.

 

Requirements:

  • Bachelor's Degree in Business or related field
  • Minimum 2 years of experience in business support or a related function. Demonstrated ability to communicate effectively in complex work environment with tight deadlines
  • Contract and Purchasing fundamentals
  • Negotiation skills, communications, strategic thinking, team player, strong interpersonal skills
  • Time management & organizational skills
  • Ability to analyze complex data & offer relevant business insights, proficient with MS Office
