The Executive Secretary will organize & provide secretarial and administrative support to ensure effective, efficient and confidential office operation(s) of an appointed Vice President, Assistant Officer or Director (Grade E12 and higher) under minimum supervision.
Primary Responsibilities #LI-JK1
- Meetings:
- Schedule daily, weekly and monthly meetings/appointments
- Revise schedule using own judgment with respect to the guidance provided by the leader regarding prioritizing meetings Coordinate event registration for yearly meetings
- Answer telephone calls and resolve inquiries using thorough knowledge of company policies and procedures
- Communication:
- Process correspondence, type/compose material using e-mail, Microsoft Office and any required specialized software
- Responding to inquires inside and outside of the company that require the ability to be tactful and to exercise good judgement
- Travel and Registrations:
- Coordinate travel arrangements and process expense reports
- Calendar and Email Management:
- Open and distribute mail using own discretion regarding who can best handle the response or subject matter
- Maintain and process division/department records, such as approvals, department budgets, bills for payment and associate attendance
- Develop, organize and maintain filing and follow-up systems that meet the development/division objectives.
- Filing, Administrative and Systems:
- Compile information as requested by management and design presentation format using advanced Microsoft Office Power Point skills
Required Education and Experience
- High School Diploma or equivalent
- 5 or more years of experience as an Executive Assistant to a CEO or Senior Leader in a multi-national organization
- Knowledge of Executive and Corporate Responsibilities
- Must have experience effectively managing an Executive's complex calendar and high-volume of e-mail
- Demonstrated business acumen for solving complex problems and prioritizing workload
Desired Skills and Abilities
- Bachelors degree
- Experience managing a Department Budget
- Advanced computer skills (using Microsoft Office Suite) to build, design and review presentations
- Shorthand ability
