Key Responsibilities
Scheduling and Meetings
- Manage a complex calendar, including daily, weekly, and monthly meetings
- Use discretion to revise and prioritize appointments based on leader guidance
- Handle logistics for event registration and yearly meetings
- Answer and direct phone calls, resolving inquiries based on knowledge of company policies
Communication and Correspondence
- Draft and process internal and external correspondence
- Use Microsoft Office and company systems to create documents and respond to inquiries
- Communicate tactfully and professionally with both internal and external contacts
Travel and Expenses
- Arrange domestic and international travel
- Prepare and submit expense reports accurately and on time
Email and Calendar Management
- Manage incoming mail, identifying items for review or delegation
- Track and maintain department documents including approvals, budgets, and attendance
Administrative and Systems Support
- Develop filing and tracking systems aligned with department goals
- Compile reports and presentations using advanced PowerPoint and Excel skills
- Maintain confidentiality and ensure smooth daily operations
Qualifications
- Proven experience in an executive administrative support role
- Strong communication and organizational skills
- Proficient in Microsoft Office (especially Outlook, Word, Excel, and PowerPoint)
- Ability to work independently and manage multiple priorities
- Professional discretion and attention to detail are essential
What You Will Bring
- At least 5 years of experience supporting a CEO or senior executive in a multinational organization
- Strong understanding of executive-level and corporate responsibilities
- A proven ability to manage complex calendars and high-volume email inboxes
- Business sense-you know how to assess situations, solve problems, and adjust priorities without missing a beat
- Comfort handling confidential information and making smart decisions under pressure
- Experience managing a department budget is a plus
