Primary Purpose of the Position
The Travel & Expense Analyst is an individual contributor role, with demonstrated experience, reporting directly to the Global Travel & Expense Lead roles. Depending on the area of support (Expense & Technology vs. Travel & Card) this role will flex between program administration activities for corporate card and travel programs and expense accounting / tax activities. This role provides an efficient and cost-effective T&E service to all divisions served by GBS, to ensure that the T&E process is in accordance with the company’s T&E policy and guidelines, and that the assets of the business are effectively controlled. This role requires knowledge of accounting principles and to be familiar with support required for all areas of the Global Travel & Expense program. The position has a broad responsibility for proper accounting in assigned area and for exercising judgment and initiative in detecting and resolving problems.
Main Responsibilities:
• Perform financial reporting for closing cycles. Providing T&E expense calculations to finance for monthly/quarterly accruals;
• Compile data and provide reports on expenses that have not yet been accounted for in ERP systems;
• Ensure expense reports and payments to card providers offset and balance within the GL clearing account (for Company Paid/Company Liability payment types) Monitor / assist in resolving expense posting errors;
• Work with Global T&E Lead and Travel & Expense Coordinator positions to provide T&E process guidance to associates;
• Assist with month end activities with data collection for Operational /Metrics Reporting;
• Administering card programs including, but not limited to, Business Travel Account, lodge, ghost, meeting, purchasing etc. Optimizing card programs to improve rebates and minimize traveler financial burden and risk to Goodyear;
• Administering travel programs including working directly with travel agency (BCD Travel) and partnering with Procurement on travel vendor agreements / service levels;
• Run the payment proposal for all processed expense reports in accordance with Local country’s payment calendar;
• Collaborate with Procurement organization to administer purchasing card program in accordance with global PCard policy;
• Reporting on travel/expense solutions and credit card providers to analyze policy and procedural compliance, operational efficiencies, and vendor performance;
• Tracking procedural objectives and service level agreement targets to ensure optimal levels are achieved;
• Support implementation of continuous improvement and best-practice management techniques. Builds and maintains excellent relationships with internal and external customers to ensure mutual goals are achieved;
• Recommends process standardization initiatives;
• Coordinating taxing requirements identified by local/country tax authorities and global Goodyear tax department leadership to ensure proper system/solution configuration exists to capture and report accurate data;
• Maintain up to date Standard Operating Procedures and other process documents for all required areas;
• Deliver Shared Services Objectives based on the principles of superior customer service;
• Participate in other T&E Operational initiatives - coordinate regression testing. Raise a need for any changes to the attention of the Team Lead;
• Superior customer support and troubleshooting assistance provided to Goodyear associates on T&E systems, policies and procedures;
• Timely responding to queries providing subject matter expert help/services to employees with questions about the status of employee expense reimbursements and expense processing;
• Deliver T&E system/policy training and education to associates, including access to training materials;
• Acting as a liaison to internal/external technology or service provider support teams as necessary.
Knowledge & Skills
• Demonstrated knowledge of all Microsoft Office Products (especially MS Excel), SAP and SAP Concur;
• Interpersonal skills that establish and maintain excellent relationships and credibility quickly;
• Ability to support accounting/finance/internal control decisions with logical evidence and persuasively present position;
• English speaking and writing skills (multi-language capability preferred);
• Ability to work independently & manage multiple projects/tasks simultaneously, leveraging strong analytical and problem solving skills.
