Position Description : Reporting directly to the Managing Director - India, this position has responsibility of performing a variety of administrative, research, coordinating and communication activities in support of the efficient operations of the MD’s office.

 

Principal

Responsibilities:

The position assists in the management of information/communication with Country and Regional/Global teams.  This includes keeping up to date on the Team’s current activities; responding to general external and internal requests for information; liaising with associates from different functions.

 

This position is key in assisting the MD in managing and prioritizing competing demands for the time and attention and plays a coordinating and liaison role between the MD’s office and the leadership team, as well as Regional & Global offices. Primary responsibilities for this position are as following -

  • Prepare internal communications as per established internal protocols and guidance
  • Assists in the preparation of the agenda for meetings, makes recommendations concerning the content of the agenda to ensure continuity and efficiency at the meetings and ensures that documentation is available and distributed for each meeting in a timely fashion. Following the meeting, drafts the minutes and follows up on outstanding items.
  • Receives and prioritizes VP’s correspondence and takes action in drafting correspondence and forwarding for action and/or distributing for information. 
  • Obtains, compiles and extracts information from files, publications, internet, Centre databases and other sources to prepare documents and briefing papers.
  • Organizes meetings, including but not limited to, contacting participants, preparing documentation for distribution, and coordinating administrative and logistical arrangements. Following the meetings, drafts minutes and circulates to participants.
  • Prepares all aspects of MD’s travel, from travel approval to preparing expense reports, trip program, and first draft of the trip report, etc.
  • Receives all visitors of the Office of the MD.
  • Reviewing and editing text and presentations to ensure that content and format are consistent with established guidelines.

Required Experience:

  • Around 5-6 years of successful experience in communication management and administrative assistance
  • Good understanding of business commercials, broad understanding of processes
  • Knowledge of direct marketing sales and services, and the ability to provide an integrated solution to prospects and customers.
  • Knowledge of key business & financial concepts

Education:

  • MBA from a top business school

  • Desire to learn and understand key business contents so can communicate more effectively
  • Enjoy working in a dynamic environment and with senior management
  • Have good programmatic approach to variety of tasks and deliverables
  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
  • Proficient in Microsoft Office (Power Point, Outlook and Excel, and), Adobe Acrobat, and social media web platforms
