About the role

We have an exciting opportunity for an experienced Executive Assistant/ Office Manager to support the Managing Director and the wider Leadership team. You will work very closely with our Director and take responsibility for the smooth functioning of both the team and all the behind-the-scenes operations.

 

About You

As a key team member, you will be the focal point to ensure the smooth running of the office and perform a full range of office management and operational support functions. You will have a mature approach and be required to use initiative and be able to manage multiple tasks efficiently and to tight deadlines. You will be challenged to push yourself out of your comfort zone whilst consistently delivering to high expectations. 

You will enjoy building collaborative relationships and working alongside the Executive Leadership Teams to contribute to the successful operations of the company. The candidate will be responsible for managing all aspects of administrative and executive support including but not limited to:

  • Manage appointments for MD, Finance Director and HR Director and monitor incoming mail and telephone calls.
  • Prepare agendas, take minutes and circulate materials and minutes as required for Executive meetings.
  • Planning and executing ad hoc company events (including catering arrangement) as required.   
  • Prepare travel & accommodation arrangements for domestic and international travel.
  • Monitoring and ordering of office supplies and staff amenities.
  • Management of access & visitor passes and parking access in conjunction with HR.
  • Correspondence and documentation: Prepare and type correspondence, reports, memorandums, directives and presentation materials.  Provide MS PowerPoint, Word and Excel support and obtain information for special projects as required. 
  • Oversee maintenance of business machines and staff common areas including kitchen equipment and staff facilities, and arranging service calls.
  • Assisting with co-ordination of events

 

 The successful candidate will display the following skills and attributes: 

  • Proven experience in a similar role to senior management, previous experience running a corporate office preferably in a multinational organisation.
  • High degree of competence in managing a complex and frequently changing schedule
  • Outstanding organisational, time management and communication skills
  • Advanced MS office skills, Word, Powerpoint and Excel skills
