Workplace Experience Assistant

Primary Purpose of the Position

  • The key focus for this role is to create a single and visual point of contact for company associates/visitors, to provide high standards admin services, representing our company’s values in appearance, presentation and manners.  As a good front of office experience, support our associates to have a good workplace experience, demonstrate high level of security awareness and follow company security procedure.                                                

 

Responsibilities:

Workplace experience Operations EHS, Security & Quality

  • Manage and book office supplies online, including pantry and stationary supplies, and ensure the best balance between staff needs and cost saving opportunities.
  • Manage and register office keys uses (lockers and cabinets) efficiently, including to distribute keys for new associates.
  • Arrange and register club cards for associates’ use.
  • Receive Express timely and make sure do registration correctly.
  • Submit and do payment request for office supplies related cost timely and accurately, according to company policy.           

Customer Receptionist Services & Admin Help Desk

  • Greet, assist and lead new hires/candidates/visitors to the proper place and to the relevant staff.
  • Update associate contact information in excel timely and accurately.
  • Provide Helpdesk service to collect associates’ feedback for office equipements problems, coordinate with supplies and ensure the problems are solved timely.
  • Keep the reception area to meet 5S standards.     

EHS & Security

  • Make and issue company entry badge/building entry access (Ai Baoban) with proper access for new hires/vendors/visitors, take back budget for withdrawn associates. Monitor and maintain entry badge consumables in line with agreed stock levels.
  • Do office tour for new associates, including office safety introduction, and act as the first line of support for any concerns raised.
  • Manage and ensure First aid boxes are sufficient for good use.        

Others

  • Update SMC Email group, to ensure new associates/exit associates’ email addresses are correctly and timely updated in the GAIMS.
  • Assist and support admin team for event & activities to reach its agreed goals.
  • Other adhoc jobs assigned by the Office Manager.

 

Requirements:

  • Bachelor degree
  • 1-2 years of working experience (new graduate with good potential is acceptable).
  • Experience in office management or hospitality industry is a plus.
  • A highly self-motivated and passionate team player with a great attention to detail.       
  • Strong people focused skills including communication, relationship building and stakeholder management.
  • Proactiveness and can-do spirit.
  • Good written and oral English.
  • Microsoft Office skills.
