Job Responsibilities:
Executive Support
- You will provide executive administrative support to the Managing Director and Finance Director.
- You will assist other Leadership Team members.
- You will handle confidential information and maintain the security of the Executive’s records and files.
- You will schedule and arrange meetings, handle expense reports, and manage travel bookings.
- You will facilitate smooth communications with internal and external parties.
Marketing and Project Support
- You will create shopping carts for marketing requirements.
- You will process goods receipt/confirmation and prepare monthly accrual reports.
- You will dispatch marketing items and support marketing promos and events.
- You will coordinate and collaborate on projects and programs relevant to associates, dealers, and distributors
Office and Facility Management
- You will monitor and order office and pantry supplies
- You will coordinate office repairs and maintenance
- You will supervise office support staff
- You will manage to build parking slot requests and gate passes
- You will ensure health and safety in the workplace
Fleet and System Management
- You will monitor and manage GPI fleet vehicles, including insurance, registration, and maintenance.
- You will handle the Securimate platform and manage distributor and marketing contracts.
- You will use Concur to book flights and T&E.
Board and Communication Support
- You will schedule and organize quarterly GPI Board Meetings.
- You will prepare venues and communicate with GPI Board Members.
- You will manage board meeting documents and logistics.
- You will gather, screen, compile, and verify information for various documents.
- You will transcribe, encode, format, and proofread materials.
Job Requirements:
- Graduate of bachelor's degree
- Excellent oral and written communication skills as well as knowledge of obligations and contracts is an advantage
- Organized and systematic.
- Good communication and interpersonal relationship skills.
- Able to decide independently based on specific policies.
- Proficiency in office application software.
- Proficiency in MS Office applications and accounting-related software;
- Excellent communication, interpersonal relationships, and decision-making skills.
